The Managing Director oversees matters relating to data protection on behalf of the company. He is supported by information security specialists who provide a managed service equivalent to that provided by a Data Protection Officer. These services include conducting independent audits and recommending policy for the company to adopt and assisting with subject access requests.

The purpose and grounds for processing personal information.

As recruitment specialists we collect and process personal data to enable us conduct our recruitment business, by assisting our clients attract suitable applicants to fill job vacancies.

If you are a client our legal basis for collecting and using your personal information is:

  • Where the use of your information is necessary for us to enter into or perform the contract or contracts that we have with you.
  • Where the use of your information is necessary for our own legitimate interests whilst ensuring at all times that your information and your rights in relation to that information are protected. This includes managing relationships with clients, past and present, as well as entering into new business relationships.

If you are an applicant or candidate our legal basis for collecting and using personal
information is:

  • Where the use of your information is necessary for our own legitimate interests whilst ensuring at all times that your information and your rights in relation to that information are protected. This enables us to match your skills, qualifications and experience to employment opportunities. Once we have done so we rely on your consent before progressing the matter on your behalf.
  • Once we have identified an employment opportunity we will always seek your consent before sharing your personal information with a potential employer. We maintain records of how and when your consent is sought.

We do not collect or process special or sensitive personal information relating to either our applicants or clients, however, we may need to do so in respect of our workforce. This is necessary for us to meet our statutory obligations in respect of Health and Safety legislation.

When registering with us as either a client or applicant the personal data we collect from you is kept to a minimum.

The type of personal information we collect from applicants is limited only to that which is necessary such as, your full name, age, address, email address, driving licence information and a current CV.

We do not request any sensitive information from applicants, we strongly advise you to check that you have not made any reference to information of a sensitive or serious nature before uploading your CV. This might include any reference to, Race, Ethnicity, Religion, Membership of a Trades Union, Genetics, Biometrics, Health, Sex Life or Sexual Orientation. Such issues may well be touched upon when completing job application forms, during interviews, or when agreeing terms with prospective  employers, we do not process this type of personal data on their behalf.

When you register with us as an applicant or candidate and your personal data is listed as such. Once we have successfully placed you with an employer your personal data is updated to reflect the change. We contact every applicant annually to ascertain if they still wish to remain registered with us, and to ensure the personal data we hold is accurate and up to date.

Who do we share your information with?

We do share your personal information with potential employers, but only with your consent. We do not share your personal information with anyone else. The only exception might be if a lawful request was made by a law enforcement authority, such as the police or HMRC.

The period for which we will keep your information

We will retain your personal information for no longer than is necessary for our business purposes. We are legally obliged to retain some records, such as those used for accounting which in most instances will be for at least seven years.

Transferring your information internationally

All of our clients are based within the UK. We do not transfer personal data to clients in other countries either within or outside of the European Economic Area.

Your Rights.

We acknowledge your right to be informed also to request confirmation regarding the personal data we hold about you, your right to be provided with copies, also a number of other rights such as a request for us to stop processing your personal data or to have it removed from our data base. You can exercise these rights by contacting the company at its registered address ideally in writing or by email, we may require further proof of your identity before acting upon your request.

We also respect your right to withdraw your consent for us to process your personal data at any time. Should you wish to exercise this right we will remove your personal data from our data base as soon as possible.

You also have the right to complain to the regulatory body for the UK, the Information Commissioners Office, if you believe we have breached the data protection act.
